Applicants for job vacancies:

Your Organisation will give us access to this data when users are set up. We use this to manage and run your Iken Cloud account.
Client Data: this is any data that is included within documents and information that is made available via Iken Cloud by you or any other user on behalf of your Organisation. We host this data in Iken Cloud on behalf of your Organisation.
If your Organisation has opted to use our G-Suite integration and/or our Microsoft integration to allow you to use third party tools like Google Docs, Gmail and Office 365 within Iken Cloud, then we will collect User Data and Client Data from your Google and/or Microsoft accounts. In those instances where we process User Data and Client Data, we are acting as a processor on behalf of your Organisation. It is therefore outside of the scope of this privacy policy. Our legal basis for processing this data is our legitimate business interests (i.e. in order to ensure that access to Iken Cloud is secure).
We collect personal data from you when you log a support ticket. We collect your name, email address, telephone number and information about your support query. We use this to log and resolve support issues. This includes contacting you in connection with support queries you have raised and tracking issues with Iken Cloud.
Our lawful basis for processing this data is our legitimate business interests (i.e. to provide contractual services to your Organisation, in order to keep our services in good working order, carry out improvements and other business-related interests).

How We Process Your Google/Microsoft Data
If your Organisation has opted to use our G-Suite integration and/or our Microsoft integration to allow you to use third party tools like Google Docs, Gmail and Office 365 within Iken Cloud, then we will collect, and process on behalf of your Organisation, the following data as and when you use these tools:
your email address when sending and importing emails via/into Iken Cloud;
the contents of any emails and attachments imported from Gmail and/or Outlook (as applicable) into Iken Cloud;
the content of emails sent via the Iken Cloud add-on within Gmail and/or Outlook (as applicable);
your email address when using the Google Docs and/or Office 365 add-on in Iken Cloud.
We use this data in order to provide the services to you. This includes:
allowing you to generate a copy of emails and attachments which can be accessed within Iken Cloud;
associating your email address with your nominated case file within Iken Cloud; and
identifying you as the unique user when using these third party tools via Iken Cloud.
We do not share, transfer or disclose your Google/Microsoft data with any third parties with the exception of our sub-processors who perform services for us or on our behalf. These sub-processors are authorised by your Organisation to use your personal information only as necessary to provide these services. Under no circumstances would we ever sell your personal data to third parties.
We ensure that our use of any Google user data received from Google APIs is strictly in accordance with the Google API Services User Data Policy, including the Limited Use requirements.
