Modernising for the Future

Having used Iken Desktop for many years, Ageas had developed established ways of working across its legal team. However, with Windows 10 approaching end-of-support, the organisation needed to consider how it would continue to support its users while meeting future technology requirements.

The move to Iken Cloud presented an opportunity to modernise without starting again. While some team members had been using Iken Desktop since 2014, demonstrations of Iken Cloud showed that the transition would be manageable and that many of the core capabilities the team relied upon would remain familiar.

Rather than evaluating alternative solutions, Ageas chose to build upon its existing relationship with Iken, focusing on how best to modernise its legal operations while preserving years of investment in processes, data and user knowledge.

A Collaborative Transition

Successful technology projects rely on more than software alone. For Ageas, the move to Iken Cloud was supported by close collaboration between its legal team and the Iken implementation team.

Ahead of the migration, Ageas reviewed its existing data and made considered decisions about what information would be moved into the new environment. The project also provided an opportunity to simplify parts of the system and ensure it reflected the team’s current requirements.

As with any significant change, there were challenges along the way. Some users needed time to adapt to a new interface and the migration required a short period of planned downtime. However, regular communication, training and responsive support helped ensure the team remained informed and confident throughout the project.

The Ageas team highlighted the willingness of Iken colleagues to go above and beyond, with experienced implementation support helping to make the transition as smooth as possible.

One of the biggest challenges for West Northamptonshire Council was consolidating legal data extracted from the previous systems of Northampton BC, South Northamptonshire  and Daventry DC into one centralised database. Iken’s expertise in data migration ensured that this process was managed successfully and without disruption to the legal team’s day-to-day work. Judy noted that the migration was managed with clear communication and a well-structured project plan, making what could have been a difficult transition much easier to manage.

In addition to the data migration, Iken Cloud’s self-service capabilities have ****allowed the legal team to manage user accounts and system updates independently, freeing up IT resources. This is particularly important for a fast-growing council, as it has allowed the legal team to respond quickly to staffing changes without needing to wait for IT support.

This flexibility in user management is a prime example of how Iken Cloud empowers legal teams to be more productive and independent, enabling them to focus on legal matters without being delayed by technical issues.

Delivering Practical Benefits

Since moving to Iken Cloud, Ageas has seen a number of practical improvements in how its legal team works.

Accessing the system is now quicker and simpler, whether users are working in the office or remotely, with no requirement to connect through a VPN. Administrative tasks such as creating and closing matters have become easier, while improvements to navigation, filtering and data exports have provided users with greater flexibility in how they manage information.

The team has also benefited from improved email management and greater visibility within the Cloud environment, helping superusers and administrators spend less time on routine tasks.

While there was an adjustment period for some long-standing users, the overall experience has been positive. Today, the legal team is using Iken Cloud with confidence as part of its day-to-day operations.

In conclusion

While the transition required some adjustment for long-standing users, Ageas now has a modern case and matter management platform that supports both office and remote working without the technical barriers previously experienced.

By moving to Iken Cloud, the legal team has been able to modernise with confidence while retaining the familiarity and functionality that have supported the business for many years.
